Re: Notice of 2016 AGM
Dear Member,
In accordance with the Articles of Association of Modern Pentathlon Association of Ireland (hereafter referred to as Pentathlon Ireland) I hereby give notice that the 2016 Pentathlon Ireland Annual General Meeting (AGM) will be held on Monday 20th June 2016 in Irish Sports HQ, Irish Sports Campus, Abbotstown, Dublin 15 at 6.00pm. The agenda for the meeting will be posted on website 21 days in advance of the meeting.
Nominations are sought for the positions of Chairperson, Vice-Chairperson, Secretary and Treasurer on the Pentathlon Ireland Executive Committee, together with any proposals for the amendments of the Memorandum of Association and Articles of Association and membership subscriptions.
Only those members who meet the relevant requirements of the Articles of Association, with their yearly membership subscription paid in full, are eligible to be nominated, to propose or second a motion, or to vote at the
AGM.
All proposals and nominations must be submitted to the Secretary in writing no later than 24th May 2016.
The Agenda for the 2016 AGM, accompanied by details of nominees and proposals received, will be posted on the Pentathlon Ireland website by 30th May 2016. The Association’s financial statements will also be available upon request from the Secretary from this date.

Guidelines for Amendments to Memorandum & Articles of
Association
These are the guidelines to assist all eligible voting members of the Association in the formulation and submission of proposals to amend the Memorandum or Articles of Association for inclusion at the Association’s AGM for 2016:
I. All proposals for amendments to the Memorandum of Association and Articles of Association must be received in writing signed by the proposer and seconder by 24th May 2016
II. A proposal must be dated and include all the following elements:
- The reference to the paragraph or section of the Memorandum of Association or Article of Association being proposed to be changed.
- The new wording of the said paragraph or section of the Memorandum of Association or Article of Association.
- Name (in block capitals) and Signature of Proposer.
- Name (in block capitals) and Signature of Seconder.
- Contact details for Proposer and/or Seconder.
III. A proposal shall be returned to the Secretary at the following address:

Guidelines for Nominations for Officers (New or Existing)
These are the guidelines to assist all eligible voting members of the Association in the formulation and submission of nomination of persons to be elected to positions on the Executive Committee at the Association’s AGM for 2016:
I. A candidate shall only be nominated with a signature of that candidate next to a declaration that he/she is willing to stand for election or reelection.
II. All nominations for the election of officer(s) must be received in writing, dated and signed by the three (3) eligible members proposing the candidate by 24th May 2016.
Guidelines for Amendment to Membership Subscriptions
These are the guidelines to assist all eligible voting members of the Association in the formulation and submission of proposals for the amendment of the annual membership fees for inclusion at the Association’s AGM for 2016:
I. All proposals for amendments to membership subscriptions must be received in writing signed by the proposer and seconder by 24th May 2016
II. A proposal must be dated and indicate the amendment for each category of membership; clearly stating the proposed new fee and percentage increase.
